FAQ

  1. Will I be charged differently if I submit a file via fax (or other method)?

  1. No.  It does not matter how you submit your file to WeScribeIt for transcription, the rate remains the same. 

  1. Once I register, how soon after can I start to dictate?

  1. Immediately upon registering you can start dictating via our toll-free number and/or uploading via FTP or through the website.

     

  1. How do I upload a file?

  1. You must have a We Scribe It account to be able to upload a job for transcription.  Once you have an account and log in, click on "Upload Files" and you have the ability to upload a job.  Of course, we have other options available to you as well.  You can fax in a hand-written document to 1.888.686.2354.  Also available is the ability to upload (one or multiple files) through FTP as well as e-mail.

     

  1. What is your turnaround time?

  1. Regular files are completed within 6-10 hours.  With the use of our express service, you could get your completed document within 4 hours.  Size of file and current work load does affect these times.

  1. Will I get my files back within (?) hours?

  1. Our goal is to complete all transcripts as quickly as possible.  We aim to return Regular files in 6-10 hours and Express files within 4 hours.  This may not always be possible but we do work very hard to meet these goals.

     

  1. Can I get my files back faster than (?) hours?

  1. We always work to make our clients happy.  If you have a special circustance and need your file back within so many hours, please contact us and we will always do what we can to assist you.  If we don't think it will be possible, however, we will let you know as to not waste your time.

     

  1. What type of quality can I expect from you?

  1. You can expect to receive great quality.  We strive to do the best possible work for each client.  It should be noted, however, that if the audio quality is poor, the transcript may not be 100%.  We can only provide the client with what we were provided with.

     

  1. What type of files do you accept?

  1. At this time, we accept MP3, MP4, WAV, WMA, DSS, PDF, RA, RM, DVF, MSV, DCT, or ZIP.  Though, if you have a format other than already listed, you are welcome to contact support and we may be able to get your format added to this list.

     

  1. What size files do you accept?

  1. If you are uploading files under 20MB, you can upload using the website Upload Files page.  Anything over 20MB you will need to use FTP.  Once you have logged in to your account you can view all the information regarding logging in to FTP.

     

  1. How do I retrieve my file once it is completed?

  1. All completed documents are available by logging in to your We Scribe It account and clicking on Download Files or you can download your completed documents via FTP.  Downloading completed documents via FTP also enables you to be able to download multiple files at a time.

     

  1. Can I cancel a job at any time?

  1. Definitely.  You can cancel any job yourself by signing in to your account and selecting on the Jobs page.  If you job is still listed under the pending list, simply clicking "cancel" will end all processing for that particular file.  If your job is listed under "processing", you will have to pay for what the typist already typed.  However, you will not have to pay for anything not already typed.

     

  1. How do I update my information?

  1. You have complete control over your information.  You can add/edit/remove billing information, login information, and account preferences at any time.  To do this, log in to your account and click on the Preferences or the Login Details page.

     

  1. What if the phone, for whatever reason, gets disconnected while I'm dictating?

  1. While we do try to avoid them, of course, there will always be unforeseen problems that arise no matter what anybody does to avoid them.  If, for whatever reason, you are cut off while you are still dictating you should call the phone system and continue dictating where you left off.  You should not re-dictate the entire message again or you will end up being charged for those words twice.  The chance the same typist will receive both of your dictations is slim, which makes the chance that we would catch it is also slim.  If you are having trouble with the system, please use the Contact Us page to let us know.

     

  1. Who will type my file?

  1. A qualified typist will type your file.  We screen each typist before bringing them on board with us.  They must have the necessary exprience, ability to adhere to our strict confidentiality/non-disclosure agreements, and follow directions.  All of our typists are monitored on a regular basis to ensure their work is continuing to provide our clients with the quality they are paying for and deserve.

     

  1. Will my work be outsourced to an offshore company?

  1. Simply put, no.  We will never send any files offshore.  All of our typists are located within North America.  We feel this allows us to provide better quality work to our clients.
